Summary

As standard documents shown by the EPE operator would need to be uploaded to the online Hearing Bundle. If documents should not be uploaded before they are displayed, such as opening presentations or slide shows, the parties can follow one of the two options in the Ad-Hoc Document Display protocol. 

We've set out how the protocol can be used below.


Ad-Hoc Document Display Protocol

If the parties do not wish to upload certain documents (i.e. opening presentations / slide shows) to the online Hearing Bundle in advance of displaying them at the hearing, there are two options available:

Option 1 – Parties Display Document

  1. Confirm Option Choice with Opus - Before being able to proceed with the protocol, the parties need to send a joint confirmation email to the Case Management team, confirming this option choice. 
  2. Arrange Sharing Rights - The parties liaise with the Zoom / Virtual Meeting hosts in order to ascertain screen sharing rights of the meeting. 
  3. Parties Display Document - Counsel can join the meeting and then navigate through the document independently, allowing the relevant relevant presentation(s) to be displayed outside of the platform. 
  4. Instruct Opus to Upload - Once appropriate, the parties will need to separately send the relevant email instruction, alongside the document(s) themselves, to the Solution Operations team for upload to the Hearing Bundle as standard.

Option 2 – Opus EPE Operator Displays Document

  1. Confirm Option Choice with Opus - Before being able to proceed with the protocol, the parties need to send a joint confirmation email to the Case Management team, confirming this option choice.
  2. Opus Create Bespoke Transfer Channel - Case Manager would create a new Opus 2 Transfer channel to be shared between the parties which should be used for securely sending Ad-Hoc documents for display only (this is seperate to any existing channel you may have for sending documents for upload to the Hearing Bundle with the Solution Operations team). 
    1. Transfer accounts will be created for all email addresses in the joint confirmation email.
    2. Any documents uploaded will be considered agreed for display. 
    3. Naming format of the channel would be 'Case Code - Case Name (Presentation or Slide Shows)'.
  3. Provide Document via Transfer+ Notify Opus - Parties provide document(s) via new Transfer channel and notify either:
    1. Case Manager via email that a document is available in the channel for display; or
    2. EPE Operator during proceedings on the record.
  4. EPE Operator Displays Document - Once received, the EPE operator can display the document and navigate through it at Counsel’s instruction. 
  5. Instruct Opus to Upload - Once appropriate, the parties will need to separately send the relevant email instruction, alongside the document(s) themselves, to the Solution Operations team for upload to the Hearing Bundle as standard.
